Job Summary

The HR and Admin Staff is responsible for providing comprehensive support in both human resources and administrative functions to ensure the efficient operation of the organization. The role manages human resources and administrative functions. The position ensures compliance with company policies and government regulations while promoting efficient administrative services and a positive employee experience.

Responsibilities

  • Performs end-to-end recruitment activities which includes sourcing, screening, shortlisting, assessing, and coordinating closely with hiring managers.
  • Supports onboarding process through facilitation of new hires' orientation and ensures that all necessary onboarding materials or logistics are issued.
  • Manages employee records and/or documents effectively.
  • Supports timekeeping and payroll tasks during bi-monthly cut-off. Processes and check employees' daily time record and assists payroll activities.
  • Oversees employee benefits both government mandated and company initiated.
  • Provides support during corporate events, employee meetings and other engagement activities.
  • Performs counselling and assists in due process of minor disciplinary action of employees.
  • Monitors training implementation, sourcing and training coordination, and training records management.
  • Assists in offboarding of separating employees including exit interview and clearance.
  • Assists in fleet management activities, shuttle scheduling, vehicular preventive maintenance monitoring and coordinating with company drivers.
  • Processes annual company business permit and other compliance requirements.
  • Monitors and updates non-life insurances.
  • Oversees visitors' accommodation, transportation and other related administrative tasks.
  • Processes alien employment permit (AEP) and Visa of expatriates.
  • Manages office supplies and coordination with hauler.
  • Prepares HR and Administrative reports regularly and accurately.

Must Have

  • Graduate of Bachelor’s Degree in Human Resources Management, Psychology or equivalent
  • Preferably with 1 or more years of relevant experience in similar industry
  • Can effectively and efficiently communicate with all levels in the organization
  • Ability to respond quickly and effectively to changing priorities
  • Microsoft Office Skills, average to good in writing, presentation and reporting
  • Strong team player with proactive attitude and can work with minimum supervision
